The Role

We are now seeking a motivated and experienced individual to join our team as a Project Administrator to expand our business. As a Project Administrator, you will collaborate with multiple stakeholders, including architects, contractors and the wider management team. You will utilise your industry knowledge and experience to deliver on upcoming projects.

Key Responsibilities

  • Assist the Managing Director in delivering projects within timelines and approved budget and scope.
  • Based on project expectations (time, cost, quality), develop plans and work processes, and track project progress to ensure deliverables meet requirements.
  • Report to the Managing Director on changes that may impact the project and make recommendations on solutions to these issues.
  • Responsible for managing contracts and paperwork related to assigned projects. Arrange meetings and draft meeting minutes.
  • Work with stakeholders to ensure project outcomes are met. Tracking the progress of the project to the plans and sharing with all stakeholders.
  • Provide support to project team members and respond to project information requests.
  • Track the work of various subcontractors and monitor that their work complies with signed contracts. Identify problems, report them, and propose solutions.
  • Keep project data updated and maintained and develop weekly, monthly, quarterly and annual reports.

The Ideal Candidate

  • Have many years of industry experience in real estate development, construction or project management, with at least 3 years of experience as a project coordinator.
  • Possess relevant qualifications in construction management, civil engineering, project management or similar fields.
  • Have a proven track record of successfully delivering projects for a variety of clients.
  • Excellent written and oral communication skills; excellent analytical and problem-solving skills; excellent communication and negotiation skills with stakeholders, excellent time management and resource organisation skills; good computer software usage skills.
  • Strong understanding of PMO practices and methodologies as well as software tools for delivering complex projects.
  • Flexibility to work during busy project periods.
  • A team player who demonstrates a collaborative approach to project delivery within a shared team culture.
