Project Administrator


  • $70,000 - $80,000 per annum

Cheder Levi Yitzchok is a Chabad Lubavitch registered school (Prep to Grade 10) dedicated to the teachings of the Lubavitcher Rebbe. We offer a Kodesh and General Studies curriculum within a warm, happy and focused environment. We have separate campuses for our young boys and girls, and are recruiting for a team member to work across both campuses. The boys’ campus will operate Prep to Year 10 in 2025. Bnos Chana is the girls’ campus, operating Prep to Year 5 in 2025. 

Key Responsibilities:

Project and process:

  • This role is involved in many important processes for the school, including enrolments, systems, finances, staffing. A key focus of your role is to:
  • Identify opportunities to improve the processes using existing systems where possible.
  • Create a potential solution (or solutions) to present to management, including benefits / disadvantages, cost, people impact etc.
  • Present solutions to management
  • Implement approved solution (with management support as as necessary), which could include the design, testing, handbook preparation and staff training.
  • Create and retain appropriate paperwork for each project.

System:

  • Jotform software management:
  • Create new Jotforms to meet business needs, by understanding the problem to be solved and the information flow required. 
  • Review current Jotform templates and assess usefulness/ improve formatting / make information variations.
  • Review data flow of forms for both approval and information
  • Assist staff with Jotform queries to help resolve / troubleshoot their system problems
  • Negotiate costs with Jotform service provider for our business annually.
  • Coordinating tradies for maintenance / repair (obtaining quotes and onsite project mgt)
  • Managing mandatory govt reporting requirements for all staff including booking training, following up o/s people etc
  • Vpass system management:
  • Vpass system management – users, rostering, output.
  • Assist users to report their casual staff timesheets.
  • Compass system management
  • Manage users and access rights for staff
  • Review current modules in use and make recommendations for additional modules if beneficial, seeking feedback from mgt.
  • Test proposed new modules and involved key stakeholders as relevant before rolling out. 
  • Train staff on new modules.
  • Ensure data integrity of the Compass system, including enrolment data, timetabling, attendance etc.
  • Collaborate with the Business Manager for periodic government reporting required for school compliance.
  • Manage vendor delivery of system changes/requirements to meet our expectations.

School tasks:

  • Address inquiries and resolve issues related to projects, services, and affected stakeholders. 
  • Manage all administrative paperwork related to ongoing programs and projects. 

To be successful in this role, you will have:

  • A relevant Diploma qualification and at least 12 months relevant experience in a similar role
  • Exceptional communication and stakeholder engagement skills.
  • Proven leadership abilities for managing multidisciplinary teams.
  • Expertise in planning, risk management, and problem-solving for complex projects.
  • Proficiency in project management tools such as Microsoft Project, AirTable or equivalent software.
  • Strong organizational skills with an emphasis on time management and attention to detail.
  • In-depth understanding of WHS principles and compliance standards.
  • Competence in budget management and resource optimization.
  • Ability to manage project lifecycles, ensuring deliverables are met on time and within scope.
  • Flexibility and collaboration skills to align with organizational objectives and changing priorities.
